The Hidden Things To Consider When Renting Office Space

What are some of the more obvious things you’ll think about when renting office space? A few classic ideas that spring to mind include: 

  • The office location
  • The office size
  • How much the office costs per month
  • Parking space considerations
  • The utility options & costs
  • Lease length and flexibility

You could go on, but what about the hidden things nobody really thinks about that often? You become consumed by the obvious factors that it’s easy to move into an office and realise you’ve made a grave mistake. Well, worry about this no more, as you’re about to see some of the most important hidden things to consider when renting office space: 

Insulation

First on the list is insulation. How well-insulated is the office you’re thinking about moving into? Modern office buildings with polyurethane foam technology in their insulation are way more energy-efficient than older ones. You want to avoid buildings with old and tattered insulation in the walls because it means you’ll spend a fortune trying to heat the place up. The same goes for window insulation – the thicker the panes, the better. Opting for an office space with great insulation saves lots of money in the future. 

Maintenance

When you rent a house or apartment, you’re not responsible for general maintenance – like fixing the boiler or replacing the toilet seats. However, that’s not always the case with commercial leases. Most commercial landlords write into their contracts that you are responsible for internal repairs, not them. This means that you need to deal with fixing the lights or installing a new AC unit if it breaks. You can’t always avoid stuff like this, though it is better if you can find a commercial lease that at least shares some of the maintenance responsibilities with the landlord. 

Scalability

How easy is it to scale your business with your office space? It is so much easier when you can rent out extra office space or additional work units right next to or on top of your current office. You won’t need to pack up and deal with moving everything to a new location – which saves so much time and effort. So, keep an eye out for office space with room to grow in the same building if scalability is on your mind. 

Access

Hardly anyone thinks about access when renting a new office. Essentially, you’re thinking about the security and access control system within the building. To be more specific: when will you have access to your office? Some buildings stop anyone from entering after a certain period, while others may technically operate 24/7. If you’re someone who may need to pop to the office late at night or really early in the morning, then you need a building with 24/7 access and a good security system. Otherwise it can stop you from doing your job. 

Here are some extra things to think about:

Internet Infrastructure

You’d be surprised how many businesses move into an office only to discover the broadband speeds are painfully slow. Before signing anything, check:

  • What internet providers service the building

  • Whether fibre is available

  • Upload and download speeds

  • Whether there’s dedicated business-grade connectivity

If your business relies on cloud software, video calls, or large file transfers, poor internet can seriously impact productivity.

While considering internet quality, you may also want to explore other elements of tech infrastructure such as AV systems (useful in offices with hybrid workers). Check who is responsible for the maintenance of this tech and consider looking into AV maintenance services in case things need to be repaired or changed. 

Noise Levels

Visit the office at different times of day if possible. An office that seems calm at 10am might be above a busy restaurant, near a train line, or next to a loud industrial unit.

Also consider internal noise:

  • Are the walls thin?

  • Can you hear conversations from neighbouring offices?

  • Is there adequate soundproofing for meetings?

Noise affects focus more than most people realise.

Hidden Fees and Service Charges

The monthly rent might look appealing, but what else are you paying for?

Look carefully at:

  • Service charges

  • Cleaning fees

  • Security fees

  • Shared building maintenance costs

  • Business rates (if not included)

Sometimes the “cheaper” office ends up costing significantly more once everything is added in.

Layout Efficiency

Square footage isn’t everything. An awkward layout can waste space and reduce productivity.

Consider:

  • Natural light distribution

  • Placement of plug sockets

  • Meeting room privacy

  • Breakout areas

  • Kitchen and bathroom access

A slightly smaller but better-designed office can be more functional than a larger, poorly laid-out one.

Staff Commute Practicality

Location isn’t just about prestige or convenience for you — it’s about your team too.

Think about:

  • Public transport links

  • Cycling access and bike storage

  • Nearby amenities (cafés, gyms, shops)

  • Traffic congestion at peak times

If commuting becomes frustrating, staff morale and retention can suffer.

Building Reputation and Image

The building itself reflects on your brand.

Ask yourself:

  • Does the reception area look professional?

  • Is the building well maintained?

  • What types of businesses are nearby?

Clients and partners often form impressions before they even walk into your office.

Exit Clauses and Break Options

Lease flexibility isn’t just about length — it’s about how easily you can exit if needed.

Check:

  • Break clauses

  • Subletting options

  • Early termination penalties

Businesses evolve quickly. Being locked into an inflexible lease can become a major burden.

Always go through your list of obvious things to consider when renting office space, but don’t forget these hidden concerns, too. It is too easy to think you’ve found the ideal office, only to be let down by ridiculous energy bills, a lack of scalability, and so on. 

The right office space should support your business, not quietly drain your resources. When you look beyond the obvious factors and examine the hidden details, you protect your budget, your team, and your long-term growth.
